Multiple Content Types or multiple document libraries?

For those of you who are fans of metadata and content types (which I assume you are since you are reading this post on my blog) 😊, one question/decision point we have to make is whether we create a single library with multiple content types in it or assign a single content type to each library. That is a pretty valid question, and the answer depends on several factors that I will try and explain in this post. What is a Content Type? If you are new to the whole concept of metadata, I describe it pretty well here. In contrast, the content type is a unique collection of metadata columns for a particular set of documents. For example, for the Content Type Invoice, you can have the following metadata columns: Client Name, Amount, Due Date. For the Content Type Policy, you can have the following metadata columns: Owner, Status, Expiration date. And so on. You can read more about Content Types here. Multiple Content Types or multiple document libraries? So, in theory, we can have one huge document library with multiple content types inside, right? Well, not exactly. In most cases, you would need to create separate libraries for different types of content (content types). Here are the scenarios that will help us make the proper decision. The Number of Documents Whether or not you use content types/metadata or folders, you always have to be aware of the total number of documents in a library. There are limits you need to be mindful of, and obviously, having a separate library for e...

Add multiple Office templates to a document library

This article provides guidance on associating blank or custom templates to a Document library to enable users to easily create generic or highly customized Microsoft Office documents based on those templates. You will find this information especially useful if you want to enable the consistent use of specific types of documents such as expense reports, event-specific branded PowerPoint slides, or trip reports. After the custom templates are added to a Document library, the library itself can be saved as a template used to produce specific types of documents for a specific group within your organization such as human resources, legal, or IT. What do you want to do? • • • • Introduction When you create a new document for any given document library, the default type of document template available to you is a Microsoft Word document. But what if you want to quickly add a Microsoft Excel worksheet, a Microsoft OneNote document, or a Microsoft PowerPoint presentation to your Document Library? And what if you want each document type to follow a particular template so that all documents of a certain type are consistent? This article is divided into the two steps necessary for creating and then adding content types to be used as templates for various file types within a Document Library. Create a content type for a document template Note: Note that, by default, the New Word content type exists under the Group Work Content Types section. This is typically the choice that is availabl...

Multiple templates per content type

We are migrating to SPO and would like to associate more than one document template with a content type. My client has at least 65 templates that we would like to associate with 1 content type. These are templates that the client fills in and saves in one library. We do not want 65 content types!! We have used SharePoint for 10 years so have a good understanding of the functionality and the time has come to simplify things for users. Is there a way we can access more than one template for one content type? Or is there a suggested work around? Thanks, Amanda Hi Amanda, Unfortunately, we can't attach multiple templates to a single content type. This is because each content type holds certain set of properties and hold as a single template. A single list or library can contain multiple content types, and each content type can have unique metadata, policies, or behavior. Once we add a custom content type to a document library, the default Word, Excel etc. templates are replaced. This behavior has been changed in modern library. In Modern library, you can add a template directly to your document library via the New menu drop down. With this new capability, you can also maintain the default Word Excel, PowerPoint etc. templates along with any newly added templates and content types. Im using a Send Http request for creating the document library. Hi there are few solutions that could help you: - In one hand you have the custom connectors from Plumsail SP, they have multiple actions to modify, add and manage content types and document libraries. Idk exaclty for what you need it, but it will make your life easier for sure. Take a look. - If, on the other hand, would you like to do it by your own, honestly I have never did it using Flow, but Powershell. 2010

I have a single document library containing 4 different content types, and I need to be able to make custom edit forms for these content types (it cannot be achieved out of the box.) While I have been able to set the custom edit forms to the content types, I have not been able to successfully redirect to these pages after uploading the file. The upload always defaults to the "Default" content type and then (obviously) re-routes to that content type's edit form. Is there a way to specify a "Source" or something in the URL that would allow me to define which content type we are uploading? The custom edit form DOES NOT contain the "Content Type" choice like the default edit form does, so I am at a bit of a loss. My initial plan was to store the content type ID in session storage and use it somehow to point to the correct form, but I have yet to succeed with this. SharePoint doesn't really let you make a custom "New" form for document libraries. I can easily make custom Edit forms and assign those to each content type (I have already done this), but I can't seem to figure out how to tell that edit form which content type I just uploaded. Simply clicking "Add Item" in the library sets it to the default content type, and the custom edit form does not let you choose the content type. You can try updating content type information while creating an item from your custom form. Get your list of content types for the list and assign proper content type while saving your item. listitem...
