MS Teams and Archived files

Hi; We have a big volume of files and documents about 2 Terabytes. We have been told that files older than 3 years old need to be archived. I am trying to understand how MS teams is going to work with the archived files . 1- Does this mean we have all the old files archived in one place ( one file) and when we need to access any old file we need to go and un-archive it out of the archived file ? 2- or does this mean all old files are also moved to MS-Teams cloud storage and are shown using an Archive Icon that if we want to can go about un-archiving them? Thanks Would appreciate putting some spot light on how MS teams is going to deal with Archived files. Thank you Hi, So the only thing you can Archive Teams wise at present is a whole Team, which would encompass the content stored in SharePoint and if memory serves me correct you get the option to set the content to Read only in situ at the time of archiving. So when you say what happens to an Archived file, are you talking retention policies and what happens? Thanks Henry

Why Microsoft Teams Archiving is More than Capturing Chat

Update: 5/19/2020: Table 2 below, representing content types that can be located through eDiscovery, has been updated to reflect on April 29 th. We appreciate Microsoft updating the reference material on the original Microsoft web page to clarify which data objects in Teams are discoverable. The original topic of the blog remains the same: companies should be aware of the full ramifications of archiving and discovering Teams content and plan accordingly to ensure full compliance with regulatory as well as eDiscovery requirements. With the onset of the COVID-19 pandemic, many workers have been faced with working from home for the first time. A March Because many companies actively rely on Microsoft's Office 365 platform in their daily business, it’s a no-brainer that Microsoft shops are turning to Teams to help keep their employees effectively communicating while working from home. Why you need to be thinking about data compliance for Teams While the immediate focus is the safety and productivity of their workforce, organizations still need to be thinking about what the sudden increase in new application adoption means to their regulatory, compliance, and litigation obligations for data retention and management. One basic but important fact that many IT professionals aren’t aware of is that all data – including data generated by Teams - is potentially discoverable in litigation. Organizations subject to government regulatory data retention requirements such as SEC Rule 17, ...

Archiving channels in a team

Hi all, I'd like to archive a channel in our team on Microsoft Teams to clear the visual clutter, as we have multiple smaller projects running simultaneously and it adds up quickly. I see that I can archive the whole team - Or I can delete a channel (that can be restored within 21 days). - But I can't seem to Archive an individual channel. We need to be able to potentially access it a lot longer than that. I'm looking around for an answer to this, but many are dated, and I figured asking here would be best. I need to maintain the folderstructure, and any chat would be an added bonus. "Hiding" the channel is on individual level I believe, and does not solve my problem. Any tips? My apologies if this has been asked a million times.

When a teams gets archived and guests

We are close to wanting to archive some of our teams sites as our working groups are coming to an end. We have some staff but many guests who had access. archive a team but keep SharePoint site active

Hi there I have a weird situation at my company where we created some teams that we want to get rid of but we want to keep their SharePoint sites active and accessible. I was thinking that I would archive the team but leave the box unchecked that makes the SharePoint site read-only. Has anyone else ever done this and did it work ok for you? In our situation, we got a little too granular on the teams and want to make them channels in a bigger team but the SharePoint sites have thousands of documents that we don't want to move and still need to have active. Thanks Hi I think that will work out quite nicely. I had couple of cases where team is left as it is, and underlying SharePoint site is used as a document storage. Archiving just restricts new conversations, managing channels and team overall settings. You can still manage members of a archived team. Are those teams public or private? Do you need to manage team members or access to SharePoint site?

HOW TO ARCHIVE A MICROSOFT TEAMS CHANNEL [GUIDE]

Microsoft Teams is without a doubt one of the top collaboration platforms out there, especially with more and more companies converting to remote working since 2020. However, diving headfirst into a new collaboration platform without knowing its “ins and outs” sometimes leads to Team and Channel cluttering and a messy interface. The usual need for archiving a Channel in Teams becomes necessary when you have too many Channels with a lot of information (posts, tabs, images, GIFs, and your Out Of Office alerts). Another common case we hear is companies creating a new Channel in Teams when they have a new client/project/task and so on and so forth. What to do with those Channels when you are done with them, do you leave them as is? Do you ignore them? Or do you delete them? A common solution for this problem is archiving those Channels and AGAT Software has introduced a creative, effective, and a genius way to address this issue. The way AGAT does it is by putting your unused or inactive Channels in a Team called ‘Archiving Team’. Below are the steps outlining how to archive a Channel in Microsoft Teams. • Log into your dedicated SphereShield portal • Select MS Teams Management from the menu • Click ‘Manage’ next to the Team that you want to archive a Channel from • Press ‘OK’ • Sit back and watch the magic happen 😉 You can do this action repeatedly and archive however many Channels you want. This not only cleans up your environment, but also puts every unneeded Channel in one...

Microsoft Education FAQ for IT admins

Tip Watch the following session to learn about more about management in Microsoft Teams: How do I control team creation? I'm worried students are going to create inappropriate teams? To avoid inappropriate or misleading names, or just to provide more structure for how teams are named, you can use the Microsoft 365 Groups naming policy (currently in preview): • Prefix-Suffix naming policy You can use prefixes or suffixes to define the naming convention of teams (groups), for example, GRP_US_My Group_Engineering. The prefixes and suffixes can be fixed strings or user attributes (such as [Department]) that are added to the name based on the user who's creating the team. • Custom Blocked Words You can upload a set of words that users in a specific organization are blocked from using in names of teams they create. For example, you can block the terms CEO, Payroll, and HR from being used in team names for groups they don't apply to. • Classification You can create classifications that the users in your organization can set when they create a Microsoft 365 Group. Note If teams are created automatically by using the input from another system (for example, School Data Sync), verify that the input data complies with the naming policy you've configured; if it doesn't, team creation will fail. Can I see who created a team? To find out who created a specific team, see Can I control who can create teams? In general, we recommend against preventing anyone from creating teams. If everyone...
